Merge Tags Beat Magic

I would never set a client up to run their communications on a custom AI model. Not because AI is bad. Because it is the wrong tool for that job.

TAGSHIGH FIDELITY01TRIGGER02FIELD03MERGE04RENDER05SENDFig. 01 · Templates for consistency, AI for personalization

There is a version of “AI-powered” that is genuinely wasteful, and client communications is where I see it most. Someone decides every email should be generated by a custom model. It sounds modern. In practice it is expensive, unpredictable, and half the time not good enough to send.

01Consistency is a template problem

For a standard communication, I will take intricate merge-tag mapping over a custom model every single time. A well-built template with smart merge fields feels personalized, never misfires, and costs nothing per send.

Sequence a few of those together by case type and the client feels seen, the firm stays consistent, and nobody is praying the model behaves today. That is high fidelity. Magic is not high fidelity.

Do not pay a fortune to make your reliable emails unreliable.

02Personalization is where AI earns its place

AI belongs exactly where templates run out of road: real personalization off live case context. Picture the native version done right. Instead of a static template, the lawyer hits “generate from case context,” and the AI drafts a genuinely personalized message that the lawyer reads, tweaks, and approves.

Key Takeaway

The question is never whether to use AI for communications. It is which messages are a consistency problem and which are a personalization problem.

03Get the two backward and you lose either way

Use a custom model where a template belongs and you pay real money to introduce risk into the one thing that has to be consistent. Use a template where personalization belongs and you flatten the messages that should have felt human.

Pick the right tool for each job and you get the best of both: consistency where it counts, personalization where it matters.

Default / AI Everything

  • Custom model writes every email
  • Unpredictable output
  • Cost per send adds up
  • Consistency quietly erodes

Designed / Right Tool Per Job

  • Templates carry the standard comms
  • AI personalizes off case context
  • Predictable, near-zero cost at volume
  • A human approves what goes out
